Adding accounts through accounts module – Active Client details
NOTE: IF you are not certain of details you have to enter please verify prior to entry. Do not randomly select details. If incorrect detail are entered finance team shall reject approval of account and you will have to restart entry.
o Prepare the list of all names of active client companies on one of your screens so that you can use it as a checklist during this exercise.
o It is recommended to prepare the list of contacts associated with each client account. i.e the person who signs the contact and all details as per list “adding contacts” below. Who do we send the contract to ? who signs the contract ?
o Enter the crm.zoho.eu
o Click Accounts on top tab
o Click create account
o Add account details for active client
o Select the account owner from the dropdown list – This is the email address and name of the person entering the details as they are responsible for correct or incorrect entry.
o Account name – as found in MBR and capitalised (example: TUNING FORK ADVISORY LTD)
o Industry select from drop down
o Company registration number: Taken from MBR and no spaces
o IF the company is part of a holding company – Please add Parent company as a new account and associate the account by clicking on the small building diagram on the right test field on parent account (add the same details for the holding company as required in this list and tick holding company )
o Company of origin – Select from drop down list (example : Nouv Tech Ltd etc)
o Licence type – select from drop down
o Business type – select from drop down
o Incorporate by nouv ? - click if yes leave empty if no
o GDPR approved – do not tick for any of the accounts
o Account status – select from dropdown
o Stage – New account
o Phone number – for company – Add if available
o Website – Add website link for company if available
o VAT number – add from excel sheet provided by gian paul. IF available . IF not leave empty
o Exo number – no need to fill unless you have the exo number available.
o Business status – select from drop down (as per MBR details)
o Ownership – select from drop down
o Date of registration – As per MBR details
o Finance email address – email contact for sending invoices if available
o Business location address – Physical location details (if the same as registered address found on MBR – copy same details from MBR)
o Billing/registered address – MBR registered office details
o Hidden details – if KYC carried out and approved select YEs approved from dropdown. Do not click on any other of the hidden details.
o Click Save in the top right corner and repeat the above steps.
Adding contacts through contacts module– Contacts which shall be linked to the accounts entered above.

o Prepare the list of contacts associated with each client account. i.e the person who signs the contact. Who do we send the contract to ? who signs the contract ? if the two are different please enter both the person who signs the contract and the contact of the person who receives it. You can associate more than one contact with the same account.
o Enter the crm.zoho.eu
o Click contact on top tab
o Click create contact
o Select the contact owner from the dropdown list – This is the email address and name of the person entering the details as they are responsible for correct or incorrect entry.
o Add the title of the contact in CAPTIAL LETTERS (example: general manager, managing director etc)
o First name: Add first name in capital letters
o Last name: in capital letters
o Email address: add full email address
o Secondary email: add second full email address if available . IF same as first email please copy and past email address from above field
o Add mobile number: add as available with work desk number or personal mobile number
o Add work number: If not available, copy and past mobile number
o Role: Select role from dropdown
o Stage: New contact
o Account name: Select account (client name) to which this contact is associated
o UBO jurisdiction: Select None (if not UBO), select country if UBO.
o GDPR Approval – DO NOT TICK
o GDPR proof – DO NOT TICK
o For other field below: if info available fill in. if not available no need to add information.
