KYC approval\rejection on the nouv crm



KYC process within crm is triggered when a product selected for a proposal (quotation) to a client is considered a relevant activity. The system automatically takes a new route which includes the following stages (over and above the standard customer journey stages):

1) Start KYC - once pressed this triggers a creation of a task in zoho projects. The potential owner must enter zoho projects, select the task created and allocate that task to the person/s responsible to create that task.  

2) Once your colleague completes the KYC and enters hours into the task linked to the potential within projects, the person shall either prompt the KYC approver to highlight that work is complete or else she/he will close off the task.

a)     IF the task is set to complete, the potential will automatically shift stage to KYC complete and the approver shall receive a notification via email or have it listed on my Jobs

b)    If the person carrying out KYC notifies the approver that KYC is complete, please enter the CRM, select the specific deal/potential and set the stage to KYC complete and continue with approval

c)     If the person carrying out KYC notifies you that KYC is complete, Let the person know that he/she is to shift task to complete on projects, wait 10 minutes and the system will automatically shift stage to KYC complete and the approver shall receive a notification via email or have it listed on my Jobs

 

2)    Approval or rejection of KYC

a)     Upon receiving the Notification requiring approval you have to verify that KYC was a carried out

b)    Ensure that KYC documentation was loaded onto in scope or diligex (which ever KYC software is being utilised)

c)     Verify that the KYC carried indicates that the service can proceed as initially planned by clicking approve or reject. 


IF approved the potential will proceed to the next stage is which is verification that the quotation has been signed and agreed with the client. this is to be done by the potential owner. 

IF rejected - becuase the client has failed the KYC process or the KYC process was not done correctly - the client account status will automatically shift to terminated and will not be able to be utilised for future deals/potentials. IF KYC rejected then there is the option for the potential owner to carry out further checks and resend for approval.
