Subcontractor approval - checks which need to be carried out by the allocated approver


Subcontractors are direct representatives of our organisation. Choosing the right subcontractor to carry out any jobs on the behalf of nouv is important. 

Any new subcontractors and the process of selection and approval needs to be logged on our organisational crm. The crm has a dedicated module to subcontractors and approval of subcontractors. For information on how to add a subcontractor please follow: 

This article provides necessary information for assigned approvers and indicates points which need to be checked prior to approval. Once the person selecting a subcontractor requests approval the process will commence with an email notification: 

1.     Once you receive a notification email please click on the link or else enter into the crm and click on the my jobs tab (under approvals you will see an approval required on your end).

2.     Verify that details entered as required:

a.     Vendor name

b.     IF sole trader – verify VAT number available and collected. 

c.     IF company – Verify company registration via MBR. 

d.     Company address information added ? 

e.     Email address added

f.      Phone number added

g.     Ideally bank details added. Where do we need to affect payment ? this will most probably not be added at approval stage and will be added by finance team .

 

3.     Verify that the agreement contact with subcontractor is attached and relevant:

a.     Agreement with subcontractor should be attached and signed by both parties

 

4.     Due diligence carried out ?

a.     Verify that due diligence is marked as carried out by the person who added the subcontractor:

 

                                               i.     Due diligence may vary between one nouv company and another – example: academy should carry out an interview with the trainer, ideally get the trainer to present training material during the interview. This is up to the business pillars and agreement on subcontractor selection should defined.

 

5.     IF approved : Approver comments – is to add comments on approval and declaration that they verified all ok or what was not ok.

6.   IF Rejected : Rejector comments – is to add comments on what information was incorrect or missing. Requestor can resubmit information for approval once necessary information has been compiled.  

7.     IF delegated: if you decide that you should delegate the approval because you are not the correct person to approve please ensure that the person you are delegating to is aware that he/she must review the subcontractor.
